December 2016 - ScoutLink Update Print E-mail

ScoutLink was updated to version 1.4.1 on 7 December 2016.

The update brings about a change in how WWCC data is displayed in the Member -> Summary tab, and also the Member -> WWCC tab.

The image below shows the location and changes in the Member-> Summary tab: on the left is the old version and on the right, v1.4.1.

You will see the same column name change from “Card Number” to “Details” in the Member’s WWCC tab.

October 2016 - ScoutLink Update Print E-mail

ScoutLink v 1.4.0 was released 5 October 2016

This release implements a "Loading, please wait" image during slow periods as well as a locking mechanism on the "Add" button after a new member is created. Credit Notes for Rover Crews now follow the same format as other section's credit notes.

July 2016 - ScoutLink Update Print E-mail

ScoutLink v 1.3.9 was released on 14 July 2016.

This release implements changes to the Automated Youth Transfer Emails that went online with v1.3.8. The scheduling for the initial “Youth Transfer – Notification to Transferee” email triggered when the destination group has not been indicated has been updated to only send an email upon the initial transfer only.

The emails sent at the 4-month and 6-month interval remains unchanged.

June 2016 - ScoutLink Update Print E-mail

ScoutLink v 1.3.8 was released on 29 June 2016.

To outline the changes:

  • ScoutLink->Formation->Group->Membership is now sortable alphabetically, should you wish to do so. Simply click on the “Member” column header to sort in ascending or descending order.
  • Automated e-mails and processes for Youth transfers are online. If a Youth member is transferring, it will trigger an email to the Member (or parents), as well as the nominated Group Leader. If no Group is indicated, the member will receive a request to indicate their preferences. After 6 months, if no preference has been specified, the Member will automatically be resigned.
  • ScoutLink->Member: Number of records per page preferences will now be remembered. More details in the release notes
  • Invoices: a Group’s Invoice can now be emailed to the Group Contact indicated in Formation->Summary. See the release notes for instructions on where to activate it. PLEASE NOTE: Your invoice will only be emailed if that tickbox is ticked when the Invoice run occurs, ticking it after the fact will have no effect.

If some of these changes are not immediately visible to you, please do a hard reload on your browser:

  • For Chrome: Hold down Ctrl and hit F5 key, or hold down Ctrl and click the “reload” button in navigation toolbar

May 2016 - ScoutLink Update Print E-mail

ScoutLink 1.3.7 was released on 9 May 2016. The release was aimed at upgrading the audit log function within the Adult Recognition Awards application. It also saw the update of a dialogue box within the application itself.  Considering the number of users of the ARA application, this is a minor update that should see no other changes in functionality.

April 2016 - ScoutLink Update Print E-mail

ScoutLink 1.3.6 was released on 8 April 2016. The release updated the logic that authorises a member to work with children, as per our compliance with the Child Protection (Working with Children) Act 2012. November 2015 - ScoutLink Update Print E-mail

ScoutLink v 1. 3. 3 was released 17/11/2015.

Briefly, changes affecting all users are:

Improved search usability: Searches are activated by clicking on the magnifying icon, or by clicking into the text lookup box (the one outlined in red) and hitting the keyboard key F8.

Once your search activates, the focus now flashes in the lookup box. No need for an additional click before you start typing your search.

Date format, date input, and date display
: ScoutLink now also accepts keyboard input for all date boxes, in the format DDMMYYYY. Please note that the system automatically enters ‘/’, so if you enter DD/MM/YYYY you’ll get an “invalid date’ message.

All date boxes now have calendars as well, for those who prefer to input their dates that way.

All dates across the system will now display in medium date format, 17-Nov-2015.

Changes in affecting “Accepting Youth Transfer” screen: For those appointments (GL / Formation Administration Officer) who can Accept / Reject a Youth transfer, you now have the ability to enter the Acceptance date.

Phone number input validation: All phone numbers into the system requires 10 digits to be entered – any less and the system will display an error.

The changes affecting State / Region Office Staff specifically are:

New Youth Member: The “Identity” tab now captures place of birth.

A tab for “Miscellaneous” has been added, which allows you to enter the information required in Member > Miscellaneous.

The "Parents" tab has also been updated to capture a parent's contact numbers and occupation, which will be displayed in the Member > Parents tab. Once again, no need for additional editing.

Updates to

If the parent indicates they have or have had a Scouts NSW member number, please enter their names and member number in the "Parent / Guardian" field outlined in red. If they are not a member (past or present), please enter their names in the area outlined in green.

Changes in the Youth "Transfer and Gone Up" process: All youth members transferred using "Transfer and Gone Up" will now be placed in the "Pending Transfer" list. Groups can now complete the transfer themselves should they choose to do so; if you are completing it on their behalf you can do so from within the "Pending Transfer" list. You will now be able to select the "transfer acceptance" date.

A filter has been added in Member > Notepad for capturing admin-related comments. These comments will only be visible to those with a Region Office / Member Services appointment. To activate this, please click on the tick box that shows up when you access Member > Notepad. Please note that such administrative comments will be shown with an "A" in front of the comment.

Changes affecting the Security Group "State Executive": A privacy filter similar to the one above has been implemented for users beloning to the "State Executive" user group. Once again, comments in this filter will be available to all users in this group, but no other users.

July 2015 - Scoutlink Update Print E-mail

ScoutLink v 1.3.1 was released 30/06/2015.

This version includes 3 major enhancements to the Invoicing system:

  • Credit notes now refer to the original invoice number against which it was raised
  • Separate templates for credit notes and invoices are now available
  • Rovers will now receive a single invoice for all members raised against the Rover Crew (Group)

Also, the name search function has been updated to allow searched for both first / preferred name.

ScoutLink CHampions have also received email notification about this update.

May 2015 - ScoutLink Update Print E-mail

ScoutLink v 1.2.9 was released 14/05/2015.

This version have 2 enhancements; the e-Learning trigger is now activated and the help button redirects towards the ScoutLink support page on our website. For more details please see the attached release notes.

For regions actively using ScoutLink, please pass this information on to your groups.

Note that a separate e-mail will be sent to the ScoutLink Champions, advising them of these changes.
